This Privacy Policy describes how PoleMovebook ("PoleMovebook," "we," "us," or "our") collects, uses, discloses, and safeguards personal information in connection with the website located at polemovebook.com (the "Service"). This Privacy Policy forms part of and supplements our Terms of Use. By accessing or using the Service, you acknowledge that you have read and understood this Privacy Policy.
For users located in the European Economic Area ("EEA") or the United Kingdom, PoleMovebook is the data controller responsible for your personal information.
1. Information We Collect
Account Information. When you create an account, you authenticate through Google Sign-In. We receive and store your name, email address, Google profile image, and a unique account identifier. We do not receive, access, or store your Google account password.
Account Activity. For registered users, we store information generated through your use of the Service, including, but not limited to, moves you designate as "Have," "Want," or "Not Sure," saved combinations and collections, favorited moves, community difficulty ratings, and any public handle you create.
Public Profile Information. If you elect to create a public handle, that handle and any progress or favorites you choose to display are made publicly accessible to other users of the Service.
Usage and Technical Data. We collect information regarding your use of the Service, including, but not limited to, pages accessed, referring website, device and browser type, and approximate location at the country level.
Geolocation. Upon your first visit, your approximate country is determined through a third-party geolocation service, which processes your IP address for this purpose. This information is used solely to determine whether the cookie-consent notice is displayed and is not retained.
Newsletter. If you subscribe to our newsletter, we collect your email address for the purpose of delivering it.
Contact Submissions. Our contact form is provided through an embedded third-party form service. Information you submit through it, which may include your name, email address, and message, is collected through that service and transmitted to us.
Payment Information. We do not collect or process payment information. Donations and memberships are handled exclusively by a third-party platform under its own privacy policy.
2. How We Use Information and Legal Bases
We process personal information for the following purposes:
- To operate and maintain the Service, including administering your account and storing the content you create. Legal basis: performance of a contract.
- To analyze and improve the Service. Legal basis: consent where required (EEA, United Kingdom, and Switzerland); otherwise our legitimate interest in maintaining and improving the Service.
- To deliver our newsletter, where you have subscribed. Legal basis: consent.
- To respond to inquiries submitted through the contact form. Legal basis: our legitimate interest in responding to communications.
- To maintain the security and integrity of the Service and prevent misuse. Legal basis: our legitimate interest.
We do not engage in automated decision-making or profiling that produces legal or similarly significant effects, and we do not sell personal information.
3. Cookies and Similar Technologies
The Service uses the following categories of cookies and local storage:
- Strictly necessary cookies, used to maintain authenticated sessions through Google/Firebase Authentication. These are required for account functionality.
- Preference storage, used to record your cookie-consent choice so that the consent notice is not repeatedly displayed.
- Analytics cookies, as described in Section 4. For users located in the EEA, the United Kingdom, and Switzerland, analytics cookies are set only after consent is provided through the cookie-consent notice.
You may change your cookie-consent choice at any time through the "Cookie settings" link in the site footer, or by clearing your browser storage.
4. Analytics
We use Google Analytics 4 and Firebase Analytics, both provided by Google, to understand how the Service is used. These services use cookies. For users located in the EEA, the United Kingdom, and Switzerland, these services are enabled only after consent is provided, enforced through Google Consent Mode. For users in other jurisdictions, they are enabled by default and may be declined through the "Cookie settings" link.
We also use Cloudflare Web Analytics, which does not use cookies and does not collect personal information. It produces aggregate measurements only and operates for all visitors.
5. Disclosure of Information
We do not sell or rent personal information, and we do not disclose personal information for the purpose of targeted advertising. We engage service providers, including, without limitation, the following, which process personal information on our behalf:
- Google and Firebase, for authentication, database services, hosting, and analytics.
- Cloudflare, for cookieless web analytics.
- A geolocation provider, for approximate country determination.
- A donation and membership platform, for processing voluntary contributions.
- Kit (our email newsletter provider), for delivery of the newsletter.
- YouTube, for embedded video content, which is served using its privacy-enhanced mode.
The service providers identified above are current as of the date of this Privacy Policy and may change from time to time. We may also disclose personal information where required by applicable law, or where we believe in good faith that disclosure is necessary to comply with a legal obligation, enforce our agreements, or protect the rights, safety, or property of PoleMovebook, its users, or others.
Third-Party Links. The Service may contain links to, or content from, third-party websites and services that we do not operate or control. We are not responsible for the privacy practices or content of those third parties, and we encourage you to review their privacy policies before providing them with personal information.
6. International Processing
PoleMovebook is operated from the United States, and our service providers may process and store information in the United States and in other countries where they or their sub-processors operate. By using the Service, you understand that your information may be processed in jurisdictions whose data protection laws differ from those of your own. Each service provider processes personal information in accordance with its own privacy commitments.
7. Data Retention
We retain personal information only for as long as necessary for the purposes described in this Privacy Policy:
- Account and profile information is retained until you delete your account. Account deletion removes the records that associate your identity with your activity.
- Community difficulty ratings are stored against an anonymous account identifier and are retained in aggregate following account deletion, at which point they can no longer be attributed to you.
- Newsletter subscription data is retained until you unsubscribe.
- Analytics data is retained in accordance with the standard retention periods of the respective analytics providers.
8. Your Rights (EEA and United Kingdom)
If you are located in the EEA or the United Kingdom, you have the right to access, correct, delete, restrict, or object to the processing of your personal information, and the right to data portability. Registered users may delete their account, and the personal information associated with it, at any time through the Account page. 9. California Privacy Rights
If you are a California resident, you have the right to request disclosure of the categories and specific pieces of personal information we have collected, to request access to or deletion of your personal information, to request correction of inaccurate personal information, and to not be subject to discrimination for exercising these rights. The categories of personal information we collect are described in Section 1 and include, but are not limited to, identifiers, account and activity information, internet and other electronic network activity, and approximate geolocation.

10. Children's Privacy
The Service is intended for adults and is not directed to children. We do not knowingly collect personal information from any individual under the age of 18. If you believe that a minor has provided us with personal information, please contact us and we will take steps to delete it.
11. Security
We use Google's authentication and database infrastructure, transmit data over HTTPS, and restrict access so that account holders may modify only their own records. No method of transmission or storage is entirely secure, and while we take reasonable measures to protect personal information, we cannot guarantee its absolute security.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Last updated" date and, where appropriate, notice on the Service. Your continued use of the Service following the posting of changes constitutes acceptance of the revised Privacy Policy.
